Exhibitor manuaL – Building green CPH 2026

If you have any questions regarding your stand or practical arrangements before the exhibition, you will find the answers here. You will receive regular emails with important information and deadlines in the lead-up to the event.

Building Green reserves the right to update this manual at any time.

The following items are included in your stand package in accordance with your stand contract:

  • Off-white partition walls, 2.5 m high, between neighbouring stands (island stands do not include partition walls)
  • General overhead lighting
  • 1 x power socket (1.8 kW)
  • Wi-Fi
  • Lead scanner/app for collecting visitor contact details

Stand Walls

The stand walls are constructed in modules measuring 1 m wide and 2.5 m high, joined with aluminium profiles. The walls are off-white in colour.

  • The number of open sides depends on your stand location and will be confirmed individually.
  • If you require precise measurements for graphics, branding, or custom-built elements, we recommend contacting Lokomotivværkstedet directly.

Build Height

  • The maximum build height is 3 m, including beach flags, signage, and any other stand materials.

Floor Loading

Certain areas of the hall contain floor panels with a maximum load capacity of 250 kg per m².

If you plan to bring heavy equipment, this must be communicated in advance so we can ensure that your stand location can accommodate the load.

Columns in the Hall

There are two types of columns in the venue:

  • Right-hand side: 27 cm × 27 cm
  • Left-hand side: 85 cm × 100 cm

The appearance of the columns varies, as many of the venue's original industrial features have been preserved.

Gate 4
Gate 4 is not used for move-in or move-out. Waste containers are located in this area.

• Banners may not be suspended above stands
• All stand materials must remain within your allocated stand area
• Logos and branding must not face directly towards neighbouring stands
• Floors, walls, and venue structures must not be damaged by screws, nails, drilling, or similar fixtures
• Only TESA tape or Power Strips may be used for mounting materials. All tape and mounting materials must be removed by the exhibitor after the event. An additional cleaning fee will be charged if tape residue or similar materials are left on the stand walls
• The stand must be returned in the same condition in which it was received

Login details for Lokomotivværkstedet's ordering portal, FairCRM, will be sent on 14 September 2026. Through the portal, you can order carpet, stand furniture, additional lighting, empty packaging storage, and forklift assistance.

Covered stands and structures with roofs or ceilings must be approved in advance by Lokomotivværkstedet.

Regulations

·         Covered areas may not exceed 6 m².

·         At least one side must remain open towards the exhibition hall.

·         Naked flames and smoke machines are not permitted.

Any activation of the fire alarm system will result in evacuation and charges of no less than DKK 7,500.

All stands incorporating timber or other combustible materials must have a fire extinguisher available. Exhibitors may either bring their own extinguisher or hire one through Lokomotivværkstedet.

Move-In

Move-Out

29 October 2026
17:00–22:00

Dismantling may only begin after the exhibition closes at 17:00.

Early dismantling will incur a fee of DKK 5,000 excl. VAT.

All stand materials and equipment must be removed no later than 22:00.

An additional day of storage (collection on 30 October between 8:00 and 12:00) can be purchased via Lokomotivværkstedet’s webshop for DKK 2,500. The stand must still be dismantled and packed down on Thursday evening; this is not an additional dismantling day.

All deliveries must be clearly labelled with:

·         Company name

·         Stand number

·         A telephone number for an exhibitor contact person who can be reached by the carrier

All goods must be delivered directly to the stand and must not be left in aisles or near access gates.

Building Green and Lokomotivværkstedet accept no responsibility for delivered goods and are unable to sign for deliveries on behalf of exhibitors.

Storage space for packaging materials required again during move-out can be ordered through Lokomotivværkstedet's exhibitor portal.

Login details for the portal will be provided by Lokomotivværkstedet in September 2026.

Storage capacity is limited, so we recommend booking early.

Waste containers are located in the courtyard by Gate 4.

Smaller items of waste may be disposed of in the bins located throughout the exhibition hall.

Cleaning

Stands will be vacuum cleaned between build-up and the first exhibition day.

Between exhibition days, only the common areas will be cleaned.

Additional stand cleaning can be ordered through Lokomotivværkstedet.

Only authorised Lokomotivværkstedet personnel are permitted to operate forklifts, lifts, or vehicles inside the hall.

A limited number of pallet trucks will be available for shared use during move-in, although availability cannot be guaranteed.

Serving Food and Beverages on Your Stand

Samples and light refreshments may be served from your stand.

Larger-scale catering and alcohol service are not permitted.

Catering for Stand Staff

Exhibitor catering can be ordered through Lokomotivværkstedet's exhibitor portal. Login details will be sent in September.

Food and beverages can also be purchased from the café between 12:00 and 14:00 on the build-up day.

Visitors

Exhibitors have access to the venue from 07:30 on both days.

A complimentary staffed cloakroom is available at Lokomotivværkstedet.

Paid parking is available on-site via EasyPark.

Parking facilities are operated by ParkZone/DSB Ejendomme.

Please ensure that all parking regulations are observed during loading and unloading.

On exhibition days, exhibitors are encouraged to use alternative parking options where possible, allowing on-site spaces to be prioritised for visitors.

Building Green has partnership agreements with Scandic Sydhavnen and Scandic Spectrum, both of which are located close to Lokomotivværkstedet.

The code is valid for stays between 27–29 October 2026.

All stand staff must be registered before the exhibition.

Please remember:

  • Bring your ticket on your smartphone or as a printed copy.
  • Your exhibitor badge must be worn visibly at all times during the exhibition.

Only personnel working on the stand may be registered as exhibitors. All other attendees should register as visitors, free of charge.

All visitors receive a badge with a unique QR code upon arrival.

As an exhibitor, you will have access to the Eventbuizz Lead Scanner app, which enables you to collect GDPR-compliant contact information from visitors.

The app can be used to:

  • Scan visitor badges
  • Exchange contact details
  • Add notes

When a visitor chooses to have their badge scanned at your stand, they consent to being contacted by your organisation after the exhibition with relevant information and marketing communications.

Visitors may withdraw their consent at any time. Exhibitors are solely responsible for ensuring that all collected data is processed in compliance with applicable GDPR regulations.

Following the exhibition, all scanned leads can be exported to Excel.

A user guide for the Eventbuizz app will be distributed during the week prior to the exhibition.

Building Green works closely with leading industry media and professional platforms to promote the exhibition to the target audience.

As an exhibitor, you will receive promotional materials and opportunities to help maximise the value of your participation.

We also encourage you to:

  • Invite customers and business partners
  • Share your participation on social media
  • Use Building Green banners and promotional graphics

All exhibitors will be presented on our online exhibitor list. It is therefore important that you fill in the information on this page, so we can include as much information about you as possible. You must also submit your sustainability documentation or resend it from last year.

You will be contacted directly with further information about this.

  1. 1. The participants are under obligation to use the hall, including their own stand, in accordance with the purpose of the event. Lokomotivværkstedet is entitled to dismiss or expel a participant failing to comply with this requirement.
    2. Construction and fair materials must be kept inside the stand area during the event – for the purpose of the event as a whole, the flow of the event, cleaning, escape routes, etc.
    3. Signage and advertising, both inside the hall and externally may only take place with the approval of Lokomotivværkstedet. This does not apply to on-stand advertising for the participant’s own company.
    4. If a participant wishes to change the hall’s fixed installations, Lokomotivværkstedet’s Technical Services Department must be notified of this in good time. Installations may only be altered by a certified installer approved by Lokomotivværkstedet. The installer is responsible for proper performance of the work and must report the finished work to the municipal services.
    5. The participants must not set up or use loudspeaker systems other than the existing system without the approval of the organizer and Lokomotivværkstedet. The individual participant is responsible for obtaining the necessary license from Koda & Gramex to play copyrighted music.
    6. Showing of films (in special film room) must only take place with the approval of the organizer and Lokomotivværkstedet. The film presenter must also acquire any permission from public authorities.
    7. The participants are obliged to comply with all authority requirements, including those of the fire service and the police.
    8. The participants are obliged to comply with the regulations of the Danish Working Environment Authority, details of which may be found in the Authority’s Executive Orders and Guidelines. See arbejdstilsynet.dk (in Danish) og in English.
    9. The number and width of emergency exits prescribed by the fire service in each case must be kept passable and hall doors, windows and lift entrances must be unobstructed.
    10. The hall floor must not be exposed to greater load than the structural maximum, and the use of heavy vehicles, including trucks with solid tires, is prohibited. Planks must be laid for use by flatbed trucks used in transporting heavy equipment and the like. Any damage resulting from such transport must be paid for by the participant.
    11. The use of nails and screws, etc. in floors, walls, ceilings, columns, stairs, etc. is not permitted – this also include all build up stand material. Repair of any damage inflicted on the hall must be paid for by the participant.
    12. Lokomotivværkstedet takes no responsibility for loss or damage, including fire and water damage, and damage to equipment, decorations, items on fair, etc. – irrespective of their ownership. Any injury or damage sustained by the participants or visitors is not the concern of Lokomotivværkstedet.
    13. These provisions shall not apply if the damage or injury is attributable to deliberate or gross negligence on the part of Lokomotivværkstedet’s management or staff.
    14. Complaints regarding supplies affected through Lokomotivværkstedet shall be made in writing before the event closes.
    15. Carpet tape other than TESA carpet tape no. 4964 must not be used. This tape can be ordered in Lokomotivværkstedet.
    16. To limit the risk of theft, we recommend that movables and valuables be packed up and removed from the stand when unmanned and when closed. Attention is drawn to the fact that Lokomotivværkstedet accepts no responsibility for exhibitors’ property. No facilities exist at Lokomotivværkstedet for storage of moneyboxes or cash.
